- Why should I normally use an Email program instead of Webmail?

If you're new to the Web, you may not even know about computer Email programs.
Webmail may be convenient, but computer-based Email programs still offer many advantages.
Here's 15 reasons why you'd want to use an Email program instead of Webmail:
- No need to keep a Web browser window open all the time.
Just leave your Email program running in the background and if you receive any emails, they just show up. - If your internet connection is down, you can still read, search, and compose Emails.
- Check an unlimited number of Email accounts simultaneously, without going to any websites and logging in.
- Ability to use groupware.
(like an Exchange mail server) - Use a local contact list which will sync with your smartphone or handheld.
- Easily locate Emails visually.
No sorting through pages of 100 Emails like in Webmail. - Set up Email notifications
Sounds, alerts, etc to let you know when you receive Emails instead of having to go to a website to look for new Emails. - Drag-and-drop attachments to Emails. In Webmail, the path to the file is inserted as text instead of the actual attachment.
- Integration with other applications
Computer Email programs normally tie directly into other applications such as your Address Book, Calendar, Chat, and others. No can do with any Webmail. - The power to redirect
If you forward an Email, and the recipient replies, the reply goes back to you. But if you redirect a message, replies go to the person who originally sent it. The capability to redirect messages is extremely useful if you happen to receive someone else’s Email by mistake. Most Email programs have a Redirect command but most Webmail systems do not. - One place for all your Email accounts.
• Check multiple POP, IMAP, and Exchange accounts all in one place.
• Drag messages from one account to another.
• Computer Email programs are way less time consuming and offer many more options than any Webmail. - Clicking an Email link opens the correct computer program. (your Email program!)
You may have to install extra software, switch to a different browser, or jump through other hoops to make this work in Webmail. - Better Email rules.
Yes, most Webmail services have mail filters, but if you want complete control over how your Email is sorted and processed automatically, the rules in Email programs offer much more flexibility over any Webmail. - Use your computer's full user interface
In a computer Email program, menus, keyboard shortcuts, toolbars, and other aspects of your computer's user interface work the way you expect them to, and are often easily customized. In Webmail, there may keyboard shortcuts for items like replying and composing new messages but they're probably different from what every other computer program uses. - Never exceed your Email account's quota!
Downloading Emails to your computer uses your hard drive space, not mail server space. Not to mention you'll need any extra Email server storage space.
Once your mailbox gets full, no more will fit and new mail bounces back to the post office.
Webmail is normally only used when you're away from your computer.

- Can I send a 100MB Email attachment?
Maybe but probably not. A better answer is "you can but shouldn't" ...
Don't Email big files! They take a long time to send and receive! Use a free file transferring service like our DocXchange (already built-in on our hosting packages), or an external service like Dropbox.
Dropbox works well with computers, iPhone, iPod Touch, iPad, Android and Blackberry too!
If you send a large Email attachment, that Email could become undeliverable, because of it's large size, and bounce back to your POP InBox. This situation could lead to your POP account becoming locked up because of over quota. Not to mention that your ISP may not allow the sending of a large attachment.

- I receive bounced spam Emails that I didn't send. Did someone hack into my Email account?
No! These Emails look like they were sent by you but were really (hopefully) not.
Spam Email is SPOOFED, meaning that it was sent from somewhere else in the world using your Email address in the From field.
This is easy to do, just like sending someone a letter and putting someone else's return address on it.
The only way to tell where the Email REALLY came from is to view the extended Email headers. Consult your Email program's HELP menu for instructions on how to display full Email headers.
Since you didn't send the original spam, you don't have to worry about your domain name getting tagged as a spam relay. Most spam originates outside the U.S where spam regulations aren't as tight.
There's nothing you can do about it so don't worry! It happens to us regularly too ...

- Forwarding of Domain Name Email to Outside Email Account. Please Read!
In their quest to control spam, most major Internet Service Providers (like AOL, CompuServe, Yahoo, SBC, RoadRunner etc.) are cracking down on Email automatically forwarded to users on their networks.
Their systems see a lot of Email coming from a single source (like every Email forwarded from your domain name Email account) and are starting to block the forwarding of it.
PLEASE NOTE: We cannot control Email that is forwarded to an outside Email account once it leaves our Email servers. (the forwarding part) We can guarantee that you will receive your Email immediately if you use our mail servers and your domain name email.
*** You are all professionals - you have your OWN domain names, your OWN websites and your OWN Email accounts. You should use them to check and send your domain name Email instead of forwarding your domain name Email to outside accounts.
After all, you wouldn't send business correspondence on AOL, Yahoo or RoadRunner letterhead - you'd send it on YOUR company's letterhead. Your domain Email brands your company's name and shows that you are professional the same way as in print. ***
It's really easy to set up an Email program on your computer to send and receive your domain name email. See full screenshots on how to set up Outlook to send and receive your domain name email. Thunderbird is a better Email program and it's free!
All other Email programs are similar to configure. Basic instructions on the setup of several additional Email programs are listed at the bottom of the "Email Administration" page on our Web hosting control panel under "Email Client Settings".
If for some reason you still don't want to use your domain name email, instruct people to send directly to your outside Email account instead of forwarding your domain name Email to your outside Email account.
Once again, we cannot control Email that is forwarded to an outside Email account ONCE IT LEAVES OUR EMAIL SERVERS. Unreliable Email forwarding results may occur which we cannot be held accountable for.

- Top Ten Dos and Don'ts in preventing Spam

- Don't click "unsubscribe" - this option at the bottom of a spam email message is a trick. Only if you remember subscribing to the sender and you know for a fact that the sender is reputable, then use the unsubscribe option provided.
- Don't view or even pre-view a suspicious message while online - when the pictures used in the message are pulled from the spammer's server, you are telling the spammer that you received the message (even if you don't reply). Turning OFF HTML in your Email program so you don't receive the embedded images will remedy this.
- Don't use the standard mailto: tag on web pages. One way that spammers get your Email address is with automated programs (spam bots) that extract them from your web page. These spam bots do not actually open your web page, they look at the HTML code behind the scenes of your web page for the "mailto:" HTML tag. Once your Email address is harvested, it is sold to spammers.
- Do use a web-based form. But make sure you use a form that DOES NOT require the "input type="hidden" name="recipient" value="you@YourDomain.com" HTML tag or you are defeating the purpose. Spam bots can harvest your Email address from the HTML code in your web page using this method. Once your Email address is harvested, it is sold to spammers.
- Do spend time setting up whitelist and mail rule entires. Spams containing the words "viagra", "cialis" and other spam terms can be easily deleted using mail filters.
- Don't ever EVER EVER buy anything from a spammer! Search and find a reputable company that sells the product you are considering purchasing.
- Do realize that you may have okayed the spam - if you have ever provided your Email address to a company that stated in it's privacy policy that it will provide your information "to affiliated sites"... this means that if they affiliate with 10,000 sites, then you may get 10,000 or more pieces of legal junk email.
- Do Get a disposable or extra Email account (like Gmail, Yahoo or Hotmail) to give to "suspicious" sites.
- Do stay informed - technology, laws, and tricks are evolving. A good place to start is http://spam.abuse.net/.
- Don't get too crazy about spam - you have better uses for your time and energy! "An ounce of prevention is WAY worth a ton of cure" when dealing with Spam.
- My Email is bouncing because my mailbox is full. How do I get it working again and make sure the bouncing doesn't happen again?

Your mailbox fills up and goes over quota when you store Emails on the mail server.
In your computer Email program, check "remove mail off server" and choose 0 days so that once Email has been downloaded to your computer, the Emails are deleted off the mail server.
If you're checking mail with more than one computer, check "remove mail off server" and increase the time period for deleting old Emails off the mail server.
You can use iMap Email, which syncs Email (including Sent) on all your computers but NOTE that storing Email on the mail server is not advisable since your mailbox may fill up and go over quota.
If you want to store all your Email on the server with gigs and gigs of space and access all your Email accounts in one place, check out Gmail’s Mail Fetcher.
